Booking & Contract

  • Formation: Your contract begins the moment you receive a written confirmation email from nomadictoursasia@gmail.com 

  • Party Leader: If you are booking for a group, the person who signs the form is responsible for all payments and for keeping the rest of the group informed.

  • Minors: Travelers under 18 years old who are not accompanied by a parent/guardian must provide written parental consent.

Payment Terms

Once a booking is confirmed, the price is guaranteed and will not be subject to surcharges.

Payment Type Requirement
Deposit 20% of the total price is due at confirmation.
Final Balance Remaining balance due 60 days before departure.
Bank Transfer Standard payment method (details provided via invoice).
Online Payment Subject to an additional 4% charge for international banking fees.

Cancellations & Charges

If you need to cancel, charges are calculated per person based on when the written notice is received:

  • 31–60 days before departure: 25% of the tour fare.

  • 15–30 days before departure: 50% of the tour fare.

  • Within 14 days of departure: 100% of the tour fare (no refund).

Changes & Special Requests

  • Modifications: Any changes to your booking must be requested in writing (email). Changes are subject to availability and will incur additional charges.

  • On-Tour Changes: If you want to upgrade accommodation (e.g., a private Ger) while on the tour, you must pay the extra fees on the spot, subject to availability.

  • Special Requests: Dietary needs or room preferences should be noted at booking. While the company will try to accommodate them, they are not contractually guaranteed.

Liability & Insurance

  • Travel Insurance: This is mandatory. You must arrange your own insurance covering personal injury, medical expenses, repatriation, baggage loss, and cancellation.

  • Medical Issues: If you fall ill, you are responsible for all hospital and repatriation costs. The company will not refund the tour cost in these instances.

  • Force Majeure: The company is not liable for delays or damages caused by "Acts of God," natural disasters, civil unrest, or adverse weather.

Complaints

  1. Immediate Action: Tell your tour leader/guide immediately so they can try to resolve the issue.

  2. Documentation: You and the guide should complete a report form; keep a copy for your records.

  3. Follow-up: If the issue isn't resolved, you must submit a written complaint to Nomadic Tours Asia within 30 days of your tour ending.
